Booking process

We recommend booking two to three months in advance for peak season events (May through October), especially for Saturday weddings. For off-season events, four to six weeks is usually sufficient. Popular dates, particularly September and October wedding weekends, book quickly. The earlier you reach out, the better your chances of securing your preferred date.
It starts with a conversation. Book a free consultation call through our website, and we will discuss your event, your vision, and the package that fits best. From there, we send a custom quote. Once you are ready, a deposit secures your date. Final details are confirmed two weeks before your event, and we handle everything from there.
Yes. A deposit secures your date on our calendar. The remaining balance is due before the event. Specific deposit amounts and payment timelines are outlined in your booking agreement.
Absolutely. Upgrades can be made up to two weeks before your event, subject to availability. Many clients start with The Classic or The Gold Standard and add the live cigar roller or whiskey pairing as the event gets closer. We are flexible and want you to have exactly the experience you envision.

Event logistics

The Grand Lounge requires approximately 10 feet by 25 feet of flat, level surface. The Private Suite requires about 8 feet by 22 feet. We also need vehicle access to reach the setup location. We coordinate with your venue in advance to confirm placement, and we always arrive with plenty of time for setup.
No. Our trailers operate on a WEN 6800 dual-fuel generator that provides reliable power for all equipment: A/C, air purifiers, TV, speakers, lighting, and accessories. The generator is quiet (comparable to a normal conversation at quarter load) and positioned to minimize any noise. If your venue offers shore power, we can connect to that as well.
We arrive 60 to 90 minutes before your event start time for full setup. Breakdown happens after the last guest leaves and typically takes about 30 to 45 minutes. You and your guests never see the logistics.
The trailers are outdoor units designed to be parked at your venue. For events at indoor venues, our Live Cigar Roller sets up on an adjacent patio, terrace, or designated outdoor area. We work with your venue to find the best arrangement.
We need a paved or firm surface (gravel works, soft grass does not). We coordinate with your venue in advance to plan the arrival route and setup location. Most venues, including country clubs, estates, hotels, and private properties, accommodate our trailers easily.

Cigars and the experience

The lounge is a social space first. Many guests enjoy the atmosphere, the conversation, the whiskey pairings, and the general ambiance without ever lighting a cigar. Our Rabbit Air purifiers keep the air comfortable for everyone. The cigar is an option, not a requirement.
Absolutely. Our host walks each guest through the selection, asking about their preferences and experience level. Whether someone wants a smooth, mild cigar or something bold and full-bodied, we guide them to the perfect choice. There is never any pressure.
Yes. Every package includes cigars for your guests. The Classic includes 15 house cigars with one complimentary cigar per guest. The Gold Standard includes 15 house plus 15 premium cigars. The Grand Reserve includes 30 premium cigars. Additional cigars beyond the package allotment are available for purchase.
Yes. During your consultation, we discuss preferences and can source specific brands or blends for your event. If you have a favorite cigar or want something particular, let us know and we will do our best to include it.
Oak & Ash does not sell alcohol. The Cigar and Whiskey Pairing Experience included in the Premium and The Grand Reserve (Ultra) is an educational workshop where complimentary whiskey and bourbon samples are provided as part of the experience. Guests are also welcome to bring their own beverages (BYOB) to enjoy alongside their cigar.

Weather and seasons

The trailers provide complete shelter, so light rain is never a problem. For severe weather, we work with you on contingency plans and can adjust placement as needed. In our experience, the lounge becomes even more popular when guests have a cozy, climate-controlled retreat from the elements.
Yes. Both trailers have full climate control, including heat, for comfortable cigar enjoyment year-round. Our winter events are some of our favorites. There is something special about stepping into a warm, beautifully lit cigar lounge on a cold evening.

Cancellations and rescheduling

We understand that plans change. Our cancellation policy is outlined in your booking agreement. Generally: cancellations with significant advance notice receive a deposit refund minus a processing fee. Cancellations with shorter notice may result in the deposit being applied as credit toward a future event. Last-minute cancellations are subject to non-refundable deposit terms. Specific timelines are provided in your agreement.
Yes. We allow one reschedule free of charge with advance notice, subject to date availability. We would much rather help you find a new date than lose the chance to be part of your celebration.

We sometimes offer weekday and off-season flexibility. Ask about this during your consultation. Every event is unique, and we work to find the right fit for your budget.

Age requirements

Yes. All cigar services are restricted to guests aged 21 and older. We verify age for all guests participating in cigar service. This is a firm requirement for all Oak & Ash events.
